Plain answers
Who has which laptop, which licences nobody is using, who's away today. The Hub answers everyday IT questions in plain words, so finding out doesn't need a ticket.
Client portal, included
The Jinba Hub is where our clients look up their own IT. Staff sign in with their Microsoft 365 work account and find people, devices, licences, security and requests, read live from their own tenant and written in plain language. Every Jinba IT client has it as part of the service.
A look inside
The homepage is a set of tiles, one per app. Below are twelve of them and how often each one refreshes; the demo lets you open all fourteen.
Try the live demo The demo runs on made-up data for a fictional company, Demo Co, and anyone can open it without signing in.
What it does for you
Who has which laptop, which licences nobody is using, who's away today. The Hub answers everyday IT questions in plain words, so finding out doesn't need a ticket.
Staff sign in with the Microsoft 365 account they already use for Outlook and Teams. There is no Hub password to forget.
The Hub reads your Microsoft 365 and changes nothing in it. Changes still come to us as requests, and you can see every one.
Licence and headcount figures appear exactly as Microsoft and our own records hold them. We add no margin, so what you see is what you're billed on.
Headcount is counted on the 15th: anyone who started on or before that day and is still with you on it counts. A licence snapshot is kept on the 29th. Invoices use those two dates and nothing else.
My Devices lists every managed PC and Mac with its user, serial, model, processor, memory, storage and last check-in. Stale devices are flagged, and a PDF export suits an asset register, an audit or an insurer.
Microsoft's own security measure, overall, by category and by recommendation, beside MFA coverage, sign-in policies, device compliance and recent alerts. We go through it with you once a month.
Edit Layout puts the tiles in your order and remembers it on every device. A larger-text mode helps tired eyes, and an app can be limited to named people, such as a finance tool for the finance team.
The apps
Team Directory is a searchable phonebook with photos, titles, tap-to-call and Teams chat. Who's Out Today reads Outlook automatic replies to show who's on leave, remote or out. Staff Changes sends starters and leavers to our desk on one form, and Headcount shows who you're billed for.
My Devices covers each managed PC and Mac, with a PDF export for audits and insurance. Licence Insights shows what you pay Microsoft for, what's assigned and what's unused, at cost.
Secure Score tracks Microsoft's rating and the recommendations behind it. Sharing Audit lists everything shared out of SharePoint and OneDrive, with anonymous links highlighted. Shared Mailboxes shows who can read and send from each mailbox and distribution list, including disabled accounts that still have access.
Quick Request lodges an IT request from your own mailbox. Knowledgebase holds our Microsoft 365 how-to guides. Service Health gives the live status of Microsoft 365, Exclaimer and CodeTwo. Password Generator runs in your browser and sends nothing anywhere. There are a few games as well, with a leaderboard for your organisation.
How fresh is it
Each app reads Microsoft 365 on its own timetable. This is how current the figures are.
| Refresh | What |
|---|---|
| Live | Service Health |
| Every 15 minutes | Team Directory and Who's Out Today |
| Hourly | Licence Insights and Secure Score |
| Twice a day | My Devices and Shared Mailboxes |
| On demand | Sharing Audit |
| 15th of each month | Headcount is counted for billing |
| 29th of each month | A licence snapshot is kept for billing |
| Every night | An automated check opens each page as a client would and reports any problem to our desk before the working day starts |
Staff Changes and Quick Request go to the Jinba desk. The Password Generator works entirely in your browser.
Your data
The Hub keeps no copy of your directory. Your Microsoft 365 data stays in Microsoft 365, and the Hub reads it through a connection you approve once. No agent is installed on your devices.
A few things are recorded by us rather than by Microsoft: your headcount, your requests, our guides and your tile layout. They sit on Jinba's own server in Australia, encrypted in transit and backed up nightly with 30 days of history.
Hub questions

No. It only reads. When something needs changing, you ask us through Quick Request or Staff Changes, and the request stays visible to you.
No. Nothing goes on your devices. You approve a connection to Microsoft 365 once, and staff sign in with their existing work accounts.
